Overview

GrammaTech is looking for an experienced professional to join our growing company in Bethesda, Maryland. The successful candidate will report directly to the CFO . will assist the CEO, and the local accounting team  with day-to-day business operations. The Office Manager must be a highly motivated, efficient individual who is able to work under pressure, and to handle a wide variety of activities and confidential matters with discretion.

 

GrammaTech employees must be fully vaccinated against COVID-19.

 

Location: must work in office in Bethesda, MD daily

Responsibilities

 

Include, but are not limited to, the following:

  • Stay abreast of all issues, projects, and activities requiring the CEO’s involvement; monitor tasks delegated by the CEO to ensure that completed work is achieved to agreed deadlines. Efficiently manage shifting priorities to meet deadlines and action items.
  • Act as liaison between CEO and company employees, consultants, lawyers, customers, etc. to solicit cooperation and resolve problems.
  • Coordinate Board, committee and staff meetings including agendas, attendance, staff reports, minutes and follow through. Coordinate CEO’s calendar; prepare the CEO for all internal/external meetings.
  • Process Payroll
  • Accounts payable voucher posting
  • ACH/Wire payments to vendors
  • Check runs to vendors
  • Provide support to the CFO and CEO  by conducting research, preparing reports, handling information requests, and performing administrative functions such as preparing correspondence, arranging conference calls, and monitoring email.
  • Special projects as assigned.

Qualifications

General:

  • Ability to maintain confidentiality and professionalism in all situations. Ability to exercise discretion, sound judgment and significant initiative.
  • Excellent verbal and written communication skills. Strong analytical, organizational, and project management skills.
  • Ability to work independently or as part of a team, under pressure, and meet tight deadlines in a fast-paced environment. Polished, confident, and professional personality. Ability to collaborate and build credibility across different levels of the organization.
  • Proven track record of successfully managing upwards.

Minimum Requirements:

  • Demonstrated success supporting CEO or senior-level executives.
  • Advanced Microsoft Office skills with Outlook, Word, Excel, and PowerPoint.
  • Solid technical skills include experience with Adobe Acrobat and SalesForce; along with the ability to become familiar with company-specific programs and software.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • ADP payroll experience
  • Experience using ADP, GL accounting systems (i.e. Quickbooks, Netsuite, Intacct)
  • Accounts Payable experience
  • Must be authorized to work in the United States, sponsorship is not approved for this role.

Education:

  • BA/BS in Business Administration, Finance, or related field. Advanced degree preferred.
